Office Manager & Executive Assistant

 

Full-time, permanent contract

Headquarters in Lille, France 

The Role

To strengthen our administrative team at Accord Healthcare France, we are recruiting an Office Manager & Executive Assistant. Their primary responsibility will be to manage the company's premises (headquarters as well as support the field teams), ensure their smooth operation (interventions/installations/office organization), and provide daily administrative and organizational support to the company's management team (performing ad hoc tasks).

They will also be the single point of contact for all matters relating to the company's vehicle fleet (particularly with external service providers and the employees concerned).

The Office Manager & Executive Assistant will also coordinate, configure, and provide IT equipment to all employees, in conjunction with the external service provider and the Group's IT team.

They will assist in ordering and providing office equipment (supplies, small equipment, lunch/break area) and, if necessary, ensure the daily distribution and dispatch of mail/parcels.

The Office Manager & Executive Assistant will also participate in the coordination and planning of meetings, trips and professional events as well as the creation and editing of documents/presentations for said events.

The Person

 Diploma in Management Assistance or Business Administration.

 Significant professional experience in a multicultural environment, ideally within the pharmaceutical industry.

 Excellent written and oral communication skills: in English and French.

 Ability to prioritize and understand business challenges.

 Basic knowledge of SAP ERP (e.g., creating purchase orders) and ideally SAP Concur.

 Proficiency in Microsoft Office, particularly PowerPoint and Excel.

 Open-mindedness and a keen sense of customer service (internal customers)

 Organizational skills, ability to plan and coordinate workload

 Ability to work independently and cross-functionally
