The Role
Reporting to the Administration & Purchase Manager you will ensure the smooth operation of the Accord office, office equipment management and cooperation with local IT and with telecommunications service provider
•Substantive control and load verification of invoices for administration invoices like mobile phones, IT equipment or courier services• Requesting for PO / accounting of Administration department invoices
•Cooperation with services providers eg. Telecommunication
• Company equipment management (computers, phones, IPADs)- repairs, guarantee, transferring equipment with protocols
• Current database update: computers, telephones, ipads,
• Equipment order for new employees necessary to perform duties- process optimization
• Acceptance and verification of IT equipment orders
• Cooperation with central and Polish IT
• Supervising the work of local IT specialists
•Help in office work organization by collecting, sorting and ensuring proper distribution of correspondence.
•Creating and updating reception procedures
•Monitoring and care for the appearance and cleanliness of the entire office
•Help in organizing and servicing internal meetings, regional meetings, business trips, conferences and recruitment meetings, in accordance with the instructions of the superiors.
Supervision the proper use of office equipment and keeping it in good condition.
•Cooperation with the Administration & Purchase Manager in all matters related to the administration of the office, commissioning of conservation works, cleaning services, gardening company etc.
•Order furniture / art. For furnishing offices on the 4th and 6th floors
• Periodic checking of the market for new suppliers providing better service or offering a more favorable price, e.g. cleaning service, hotels, office supplies supplier
• Monitoring occupational health and safety regulations – providing employees with the required equipment
• Close cooperation with the Reception
• Collaboration with the HR department regarding employee benefits, maintaining user records, adding and removing users
The Person
- Good knowledge of English both written and spoken
- Practical knowledge of MS Office
- Experience on similar position
- Communication skills
- Proactive and problem solving approach
- Financially aware
