Business Support Assistant

Role: Full-time

Location: Stockley Park, West London

The Role

 

We are currnetly looking for a Business Support Assistant to support our Stockley Park and Harrow Exec team. 

The post holder will maintain site security by managing access, issuing visitor passes, and overseeing third‑party entry in accordance with company procedures.

The role supports the smooth running of the office by coordinating facilities, supplies, and contractor services to ensure operational needs are met. The post holder also provides reliable administrative support to internal teams, ensuring staff have access to the information and resources required to perform their roles effectively.

 

  • Calendar management for the executive team
  • Booking and arranging travel, transport, and accommodation (Preparing itineraries and travel packs for executive team and their guests if required)
  • Processing expenses for the executive and the leadership team
  • Liaising with business units to provide the best administrative support to the executive and leadership team
  • Scheduling board meetings, providing administrative support to the graduates in arranging meeting agendas for the executive team
  • Circulating necessary communications/documentation in a timely manor
  • Organising and coordinating various events, projects and conferences
  • Organising and coordinating various events, projects and conferences
  • Arranging /coordinating on- and off-site meetings including catering and restaurant reservations
  • Assisting with company report/ communication distribution
  • Maintaining databases and filing systems
  • Acting as first point of contact for people from both inside and outside the organisation, responding to general telephone enquiries, dealing with queries and forwarding to the relevant staff
  • Work in a professional manner maintaining diplomacy and confidentiality in communicating highly sensitive or highly contentious information with people of all levels within the company and elsewhere
  • Providing cover and support for other Business Support team members
  • Coordinating office management tasks if and when required 

The Person

Essential:

  • Proven experience within a similar role
  • Excellent administration skills including organizing meetings across multiple time zones, calendar management
  • Excellent literacy skills
  • Well organised with a proactive approach
  • Good working knowledge of MS Office
  • Excellent communication and interpersonal skills
  • Flexible and Adaptable
  • Ability to priorities workloads to meet deadlines
  • Team Player
