The Role
We are looking for a proactive and organized Administrative Assistant to join our Milan office. The ideal candidate will support daily office operations and contribute to the smooth functioning of our teams, providing a wide range of administrative, reception, and organizational support activities. This role plays a key part in ensuring a well-coordinated, welcoming, and efficient office environment.
This position is open exclusively to candidates registered under Law 68/99 – Protected Categories (Disabled individuals).
Main Responsibilities
- Welcome visitors, manage front desk and incoming calls
- Coordinate and book meeting rooms
- Manage office supplies, inventory, and vendor relations
- Organize common areas and sort incoming/outgoing mail
- Support travel planning and company events coordination
- Handle invoices, expense reports, and general admin tasks (including basic IT support).
- Maintain filing systems and assist with internal compliance documentation
- Manage access badges, visitor logs, and office security
- Draft reports on admin activities and office costs
- Liaise with other departments for internal events and operational needs
- Liaise with local IT consultants to support requests and hardware/software provisioning.
- Manage meal vouchers (calculations and orders).
- Support employees with Concur (expenses) and Egencia (travel) platforms.
- Assist in managing the company car fleet.
The Person
- Previous experience as Administrative Assistant, Receptionist, or in Office Management
- Good command of English (spoken and written); other languages are a plus
- Excellent organizational and time management skills
- Strong communication skills, both written and verbal
- Good knowledge of Microsoft Office Suite (Excel, Word, PowerPoint) and web tools
- Ability to work independently and problem-solve.
- High school diploma or equivalent; additional certifications in administration are a plus
